LSC Combination Board / Member’s Meeting Minutes June 08, 2015

LSC Arena at 7:00 PM

In Attendance: Terri Petty - President (TP)
Bob Webb - Vice President (BW)

Vicki Rowe - Treasurer (VR)
Kathy Minteer - Secretary (KM) Board Members: Karen Loftin (KL)

Jerry Longoria (JL) Sue Howard (SH) Julie Swaney (JS) Jesse Howard (JH)

Also Attending: Connie and Linda Ivins, Barbara Jackson, Manny Merritt, Dana and Abbey Day, Dwaine Rowe, and Nancy Boliver.

The meeting was called to order by TP. The minutes were read and accepted.

The financial report was given orally by VR. We are down 4 playdays and need income for the bills that will be coming due.

Meeting as follows:

1. A proposal was made that the club join the Lewisville Chamber of Commerce at a cost of $200. JR made a motion that we do this and SH seconded it. Dwaine Rowe has volunteered to represent the club at the Chamber meetings.

2. Due to the abundant rain and lack of rain dates for playdays, there are only 2 scheduled and they are in November, there was a discussion to move the awards banquet to January. JS made a motion to do this, KL Seconded, motion carried. Date to be announced.

3. Need for an additional playday was discussed and dates were given consideration. It was decided that we would add a night playday on July 25 to begin at 6 PM events to be decided by the board at the next meeting. Not only will we receive much needed funding but the AV department which will be filming the rodeo this year will get to see the facilities and lighting to get a better idea of what they need to bring to get the best film!

4. At the sign-up table will be a bucket for donations in order to get the arena werks drag fixed. We need at least $300 more.

5. There was some discussion on things that need to be worked on before the rodeo during the August workdays and the list so far includes: greasing the chutes and changing bunged up rollers, Wasp spray under the stands and announcers booth, painting the arena.

6. BW is looking into getting an additional quote for the arena dirt work that needs to be done as all dirt work companies are very busy with the recent rains.

7. It has been requested that every member family bring in $1000.00 toward the rodeo in sales: sponsorships, tickets, and donations. There will be a sponsorship

package provided to all to use in meeting this goal. Suggested radius for advertisers has been 50 miles.

8. Program ad deadline is August 15th. There will be raffle numbers printed in the programs for items during the rodeo. The prizes will be decided later.

9. Program printing companies as well as porta potty provider quotes will be tabled in order to provide the club with contact information for both for any future needs.

10. New member application from George Mitcham was accepted. KL made a motion to adjourn, VR seconded it, motion carried.
